The Problem with Unstructured Meeting Transcripts
Modern video conferencing tools can transcribe every single spoken word. However, an 8,000-word verbatim transcript is virtually useless to busy team leads. What teams actually need is actionable clarity: What decisions were agreed upon? Who owns each task? When is the deadline?
The 3-Tier Summary Template
When processing a raw transcript through an LLM, instruct the model to organize outputs into three unambiguous categories:
- Core Decisions (Maximum 3 Points): Irrevocable conclusions reached during the call.
- Action Item Matrix: A tabular breakdown including Task Name, Directly Responsible Individual (DRI), and Delivery Deadline.
- Unresolved Blockers: Questions or resource constraints that require follow-up before the next sync.
Privacy & Compliance Considerations
Before recording client or internal strategy meetings, verify that your transcription software adheres to enterprise data privacy agreements. Ensure audio files are not retained for public model training, and always notify participants before initiating transcription.
